GENERAL REGULATIONS
Entries
All entries must be made on the official application form available from the Registrar. The completed form together with the appropriate fee is to be sent to the Guild Registrar. The Guild reserves the right to deny any applicant entry to any of its examinations. On receipt of the entry form the Guild will contact the applicant to arrange a mutually convenient time/venue for the examination.
Eligibility/Entry Requirements
Examinations for the Certificate (CertOGM) or Diploma of Associate (AOGM) are open to any person having submitted the appropriate entry form, fee and having been accepted by the Guild for such examination. Candidates for the Licentiate or Fellowship Diploma must already hold the Associate Diploma of the Guild.
Absence
A candidate absent from the examination or any part of it forfeits the examination fee. Where absence is due to illness, provided that a medical certificate is received within seven days from the date of the examination, the Guild will consider refunding up to 60% of the examination fee. If a candidate withdraws from the examination the Guild gives no undertaking to return the examination fee or any part of it. Examination fees will not be transferred to another examination period.
Recording
Practical sections of examinations may be recorded for the purposes of examiner training only. Anonymity is guaranteed and the recordings remain the copyright of the Guild. Candidates will be unable to claim any jurisdiction over these recordings. Candidates or their accompanists are not allowed to bring any recording equipment of their own into the examination. The breaking of this rule will result in disqualification from the examination.
Text Books
Candidates are not required to use any specific text books or to base their work on any particular methods or theories.
Editions and Use of Photocopies
No specific editions of music are prescribed for performance although candidates should ensure that the editions used are reliable and authoritative. Candidates must submit copies of the music to be performed (preferably from the editions to be used) for approval by the examiners upon entry and these will be used for reference during the examination. Photocopies may be used for this purpose and will be destroyed at the conclusion of the examination. The use of photocopied music by the candidate or their accompanist, unless authorised by the publisher or copyright holder, will not be permitted in the examination with the following exceptions:
a) a photocopy of a page of a work for ease of performance due to a difficult page turn;
b) a photocopy of a piece of music for approval at the time of entry and for the examiners reference, provided that the performer is using his/her own published edition;
c) an enlarged or modified photocopy for candidates with particular needs, provided that the original is also brought to the examination and presented to the examiners.
Copyright
The written papers submitted by candidates for examination purposes and the recordings of the performance sections are the property and copyright of the Guild.
Correspondence and Enquiries
All enquiries should be addressed to the Registrar. Likewise, any complaint concerning the conduct of an examination should be addressed to the Registrar within seven days of the examination.
Review Procedures
A review procedure exists for all written examinations. If a candidate wishes to appeal against a result of a written examination the paper(s) may be reviewed and/or re-marked. Requests for review should be postmarked not later than seven days after the issue of the results and accompanied by the current fee. If as a consequence of the review there is a change in category of the result from "fail" to "pass" the fee will be refunded. No further correspondence will be considered after this process has been completed. Enquiries or appeals concerning the accuracy or validity of the result of a practical examination will not be considered.
Substitutions
Only the candidates officially entered will be accepted for examination. No substitution for another candidate will be allowed.
Admission to the Examination Room
During a performance examination only the examiners and candidate may be present in the room. The following are exceptions to this rule:
a) an accompanist (if required);
b) a page turner (or registrant for organists);
c) an approved person (teacher, interpreter) where this concession has been made for the viva voce part of the examination;
d) an audience for the Fellowship recitals.
Accompaniment
It is the candidates own responsibility to provide a suitable accompanist (if required) for the examination. The examiners will not act as accompanists. A person entered during the same session for any other examination by the Guild may not be an accompanist. Pre-recorded accompaniments may not be used.
Stopping Candidates
Examiners may, at their discretion, stop a candidate (except Fellowship candidates) at any point during a practical examination if they have formed their judgement of the performance.
Results and Certificates
A written report will be compiled for each examination. Candidates will be informed of the result of the examinations as soon as possible after all sections have been completed by post. Results will not be communicated in any other way. Certificates for successful candidates will be sent out to those who have passed all the requirements for examination as soon as possible. Replacement certificates can be provided subject to proof of the result, the applicant’s identity and payment of the appropriate fee. The candidates name as shown on the entry form will be that used when producing certificates.
Diploma Completion Period
All candidates must enter for the whole examination upon first entry. All sections must be passed for the award to be made. Such components of the examination which are not successfully completed may be entered for again at a future date and the award may be made provided that all sections of the examination are passed within a period of three years from the date of the original entry.
Language
All examinations will be conducted in English.
Academic Dress
Successful candidates are entitled to wear the appropriate academic dress of the Guild. This may be obtained from the official robe maker to the Guild, J. Wippell & Co. Ltd. PO Box 1, 88 Buller Road, Exeter. EX4 1DQ. A form of authorisation from the registrar of the Guild must accompany all applications for academic dress.
